Key Takeaways

  • Choose a solution that can handle your business complexity.
Liferay DXP’s out-of-the-box Content Management System capabilities bring together information on bbw Group’s new intranet across 8,000+ pages into one easy-to-consume interface rather than multiple.
  • Equip your content editors and conserve IT resources.
Any time a page or piece of content needs to be added or updated, editors can do it on their own without consulting the IT team.
  • Save time and improve experiences with advanced search functionality.
In addition to a more modern design, the new intranet pulls information from 142 sites and enables employees to find what they need easily.

Background

Since 1969,  the bbw Group, consisting of 14 companies, has created opportunities for people looking to acquire, maintain, improve, or regain employability as an extensive network of training, counseling, social, and personnel service providers.

Challenges

Underpinning this network is bbw Group’s employee base—10,500 people working in multiple locations and company divisions. Initially, bbw Group used a technology platform to build different intranets for different divisions, but it soon became clear that the disconnected intranets hindered collaboration.

bbw Group also encountered these issues when working with their technology platform:
  1. Inaccurate search results. Silos between the multiple intranet solutions meant there was no cross-searching option, and even within one intranet, searching functionality was limited.
  2. A sub-optimal user experience. In addition to being hard to navigate, the intranets had an outdated appearance.
  3. Difficulty in adding or updating content. Although changes to the intranet could be made by various users, they were very complicated and time-consuming, which led to delays and resource bottlenecks for other projects.
The decision to make the system as open as possible without retaining the previous huge authorization systems … and to have short, fast decision-making channels helped us a lot.

Implementation

After reviewing the challenges with their existing technology platform, bbw Group made the decision to consolidate their intranets into one central intranet. As Wilfried Berg, the Head of Digitalization and a Member of bbw Group’s Executive Board, explained, they “wanted a solution that was scalable [and] easy to connect to our internal systems”—one that could evolve with future plans.

bbw Group chose Liferay DXP as their new platform. The implementation process involved coordination between many departments and was divided into phases, from concept creation all the way to go-live. In total, bbw Group transferred 20,000 documents and 13,100 pieces of web content, with an additional migration of 8,388 pages and 142 sites. To ensure successful adoption, bbw Group held 45 training courses, gathered extensive feedback, and trained 336 editors on how to use Liferay DXP’s Content Management System capabilities.

Results

With one central intranet now available for all 10,500 employees and accessible from any device, bbw Group has equipped employees with the right collaboration tools and resources to improve productivity and, in turn, help those seeking employment.

Additional benefits of the new intranet include:
  1. Easier access to resources. By using the advanced functionality of Elasticsearch's full-text search engine integrated in Liferay DXP, employees can find what they need more quickly.
  2.  An enhanced user experience. Along with improved search, the new intranet offers a better, more visually appealing look and feel.
  3. Fast updating of content. All 300+ editors can edit content directly in the intranet, allowing the IT team to allocate time elsewhere.
  4. Reduced work duplication. With just one solution serving as a knowledge and resource hub, it’s easier to maintain standards and communicate more efficiently.
bbw Group’s future plans for the intranet include adding more integrations, workflow mapping, and personalizing user dashboards to ensure employees continue to get the best experience.
